20+ Residential and Commercial Property Portfolio - Project Jammy Dodger
Our client instructed us to save them from the admin of their 20+ residential and commercial property portfolio. When this client came to us they were keeping all information about their 20 + properties in their head.
The brief was to store all of the client's documentation for each of his properties in one place, and to automate processes to make life easier. The client wanted to be able to review the information he needed on the go, without getting bogged down in all of the information.
With the help of Monday.com, here's what we did...

Creation of Boards
Each property was given its own board on Monday.com, all listed in alphabetical order. Commercial and residential properties were organised into subsequent workspaces for ease.

Creation of Phases
Within each board, we created phases 1 - 7, which were used throughout every project to keep things simple.

Breakdown of Stages
We track the project and renovation in real time, detailing what has been completed, its status, cost, any worthy notes, and uploaded all relevant files and invoices.

Automations
We automate email reminders for the following for this client six months in advance of the end date:

Five-year fixed mortgage term end;

Lease with the housing coming to an end; and
-
Building insurance coming to an end.

Creation of a Key Info Homepage
The goal was to take away all overwhelm for the client, so we created a homepage that pulled through key information from all of the boards in an easy to read format. The client is able to access this on the go via the Monday.com mobile app.

Creation of a Risk Tracker
It was really important for this client to understand how he spreads his risk. With our risk tracker, he was able to monitor his lender usage and adjust his business practices accordingly.

Communal Repair Dispute - Project Smooth Spread
One of our property investor clients instructed us to arrange the facilitation of communal repairs, and the clawback of funds in a flat block.
We wrote to all seven inhabitants, sought quotes and instructed trades in an emergency situation, however one disputed the emergency repair.
It was our job to research the law, and negotiate with the other-side. After a few lengthy back and fourths, the disputor agreed to cover the costs, without the client needing to be involved.
